University of Cape Town streamlines budgeting from spreadsheets to near one-click with IDU.

Founded in 1892, the University of Cape Town is South Africa's oldest higher education institution — and for more than 130 years it has built a reputation for academic rigour that places it among the world's leading teaching and research universities.
Before partnering with IDU, UCT's finance team worked through a budgeting process built on SAP and sustained by the manual collation of a multitude of spreadsheets. Arriving at a final view of the numbers meant assembling data from across the institution by hand — a time-consuming cycle that made quick access to financial information difficult and slowed the pace of decision-making. The complexity of that environment left little capacity for the kind of analysis the finance function was best placed to provide. Beyond the operational burden, the university also faced a subtler obstacle: the cultural anxiety that comes with changing established ways of working inside a large and intricate institution. Any replacement would need to earn trust, not merely replace a tool.
UCT's finance team began implementing IDU-Concept in January 2019. Training followed at the end of June, and the platform was opened to users at the beginning of July — a six-month window from scoping to live deployment. IDU-Concept is a web-based system designed with the end user in mind: user-friendly enough that users required minimal support, and accessible across mobile devices so that deans, executive directors, and finance staff can reach financial data wherever they are. That combination — ease of use and genuine portability — addressed both the operational problem and the cultural one. UCT's users navigated it without friction — and adoption followed.

The outcomes across four areas were tangible. Greater efficiency: near one-click preparation replaced what had once been a sprawling, manual exercise. Enhanced strategic focus: where the finance team previously spent its time assembling spreadsheets in search of a final number, it could now direct that energy toward analysis and strategic thinking — the work that a skilled finance function is positioned to do. Accelerated data access: deans and executive directors lauded the new system, stating that data access and analytics was now fast and easy, made possible by a mobile-friendly platform that travelled with them rather than anchoring them to a desk. Seamless implementation: the cultural transition that had loomed as a potential obstacle proved, in practice, to be smooth — concern gave way to confidence, and confidence gave way to advocacy.
