Founded in 1982, Kargo Group has built its reputation as a leader in express road freight distribution across South Africa. Headquartered in Johannesburg, the business spans four companies and nine branches, operating a fleet of 450 vehicles to connect major cities with smaller towns — keeping freight moving reliably and cost-efficiently at scale. In 2015, it partnered with IDU-Concept to address a budgeting process that had outgrown its tools.

Coordinating budgets across four companies, multiple divisions, and nine branches meant Kargo's finance team spent their days managing a chain of spreadsheets — files emailed out to branch managers, edited in parallel, and returned as competing versions of the same document. With no single point of truth, consolidation fell entirely to finance, who had to reconcile the conflicting figures by hand and maintain a fragile master sheet that could break with a single misplaced formula. Branch managers, meanwhile, had no way to see where they stood against budget in real time — their only view of the numbers was the snapshot they had received when the file arrived in their inbox. The result was a process that consumed significant time at every level, introduced errors at every handoff, and left the people closest to operational decisions working with data that was already out of date.

In 2015, Kargo implemented IDU-Concept's Budgeting and Reporting Modules — a web-based system that replaced the spreadsheet chain with a single live version every user worked on simultaneously. Branch managers and the finance team could enter figures into the same live budget at the same time, with no file transfers and no version conflicts. Actuals versus budget figures, variance indicators, and historical comparisons were immediately visible to anyone who needed them, giving managers a clear, current picture of where they stood. Support for multiple windows and tabs meant users could move between datasets without closing their work, shortening the time needed to build and review budgets drastically. The framework remained centralised — controlled by finance — while input was distributed to the branches that owned the numbers.
